Responsibilities
Events
- Maintain a record of budget/expenditure for advertising and events programmes
- Support the Head of Events with organising internal and external events
- Arrange dates for Investment Seminars
- Support Head of Events in finding venues for Investment Seminars
- Attend events as and when required
- Liaise with our transport agency on requirements/logistics for external events
- Liaise with Facilities to arrange couriers for banner stands & literature for external events
Digital
- Manage CCLA’s Zoom webinar programme
- Organise dates for in-house webinars
- Work with the Marketing and Communications Manager to maintain Mailchimp list for event invitations
- Produce email invitations for events sent by Mailchimp
- Produce letters using mail merge for invitations
- Monitor and record acceptances/declines for event RSVP’s that are received through the CCLA events mailbox and website
Hospitality
- Liaise with Clients and Organisations who are using rooms at One Angel Lane to ascertain their requirements
- Order Catering for in-house meetings
- Liaise with the Facilities team to ensure that room requirements are fulfilled and Reception Team with details of in-house events
Printing
- Arrange for the printing of guest lists, factsheets and feedback forms for presentation packs for Trustee Training events
- Arrange the printing of factsheets and delivery of literature for external events
Website
- Assist with uploading of materials for the website events page & assist uploading ad hoc documents when needed
- Make changes when required
- Maintain the events page
General
- Compilation and distribution of the Week Ahead email
- Submit ads / company profiles to compliance for approval
- Liaise with our design agency on brochure/rebranding designs for events and external partner organisations and ad hoc designs including Christmas Advent
- Every year collate list of organisations that CCLA support throughout the year then produce marketing MI for the Annual Report & Accounts
- Assist Relationship Managers with room bookings when needed
- Arrange Christmas Tree installation
Skills and experience
- A minimum of 2 years’ experience in an Events Co-ordinator role or similar
- Proficient in MS Office (Teams, Excel, Word etc.) and Zoom

- Exceptional organisational skills and the ability to deliver multiple projects in a timely manner
- Highly motivated, flexible and creative to achieve results through common sense
- Accuracy and attention to detail is imperative
- A flexible, adaptable, calm under pressure approach is essential
- Willingness to be a team player and the ability to interact with partners, relationships managers and clients
- Assisting at events which sometimes requires overnight stays at locations throughout the UK. Early mornings and late nights may be required
