HR Officer

Responsibilities

Recruitment

  • Proactively manage the recruitment process from start to finish.
  • Collaborate with hiring managers to understand recruitment needs, offering guidance and support.
  • Prepare and evaluate job descriptions.
  • Ensure appropriate approvals for hiring are in place.
  • Coordinate with recruitment agencies.
  • Posting vacancy ads.
  • Schedule and organize interviews.
  • Actively participate in the interview process, offering professional judgment.
  • Collect timely feedback from interviewers.
  • Issue contracts of employment and complete other new starter documentation as necessary.
  • Complete timely background checks in line with CCLA’s HR policies
  • Support with the annual review of the preferred supplier list (PSL).
  • Support the inducting of new joiners.

HRIS

  • Become a superuser of CCLA's HRIS system.
  • Maintain the HRIS system and employee records ensuring they are up to date at all times.
  • Generate reports within the system for reporting purposes and create new workflows to meet business needs.
  • Provide training and support to the HR team and other employees on HRIS.

Processes and procedures

  • Maintain the HR processes and procedures, ensuring alignment with wider company policies and regulatory requirements.  
  • Identify areas for improvement in existing HR processes and propose ideas.

Senior Managers & Certificate Regime (SMCR)

  • Work closely with the HR team to support the co-ordination of various regulatory activities in relation to SMCR.
  • Ensure SMCR is considered for all recruitment activities, working closely with Risk & Compliance.
  • Continuous monitoring of changes to ensure ongoing compliance with SMCR requirements.

Advice and guidance

  • Work with the HR team to respond to queries received in the HR inbox, providing timely and practical advice to managers and employees in relation to policies and procedures.
  • Use own initiative and judgement to answer basic queries and make suggestions.
  • Assist the HR team with employee relation matters as needed.

Other responsibilities

  • Promoting equality, health, and safety within the company.
  • Support the production of regular reports, such as board reports.
  • Support CCLA’s annual Performance Review and Compensation Review cycles.
  • Ensure compliance with relevant employment laws, regulations, and best practice.
  • Record and process confidential employee information in line with GDPR requirements.
  • Participate in ad-hoc project/advisory work.

Skills and experience

  • A minimum of 3 years’ experience in an HR Assistant/Associate role within Financial Services.
  • Knowledge and understanding of FCA regulations.
  • A good understanding of employment law.   
  • Proficient user of HRIS (CezanneHR would be an advantage).
  • Proficient in MS Office (Teams, Excel, Word etc.)
  • CIPD Level 3 qualified/working towards or willing to gain a level 5.
